Depending on how your integration is configured, you can send an internal email to the CRM Owner one of two ways.
1. Create a HubSpot workflow using the CRM Owner Email field to send an internal email to the CRM owner.
2. Create a HubSpot workflow using the HubSpot Owner field to send an internal email to the CRM owner.
To send an internal email to the CRM owner using the CRM Owner CRM Owner Email field:
- Create a new HubSpot workflow. The title should make it obvious that the workflow is for an internal notification.
- Choose your criteria for when a CRM Owner should be sent an internal notification. For example, if a contact fills out a specific form and is from a specific state, notify the CRM owner whose state that territory belongs to. See the example in the screenshot below on how to achieve this specific criteria.
- Then Add action and choose Send internal email.
- Select or create a notification email to use then select Use an email property and choose CRM Owner Email and then hit Save.
*Tip: To personalize the the internal email, use the CRM Owner Name field as a personalization token at beginning of the email. You can use other personalization tokens for more details as well. For example, "Hi {CRM Owner Name}, you have a new lead who filled out the {xyz form} and is in your {state} territory. Here's their HubSpot profile {HubSpot Contact URL}.
To send an internal email to the CRM owner using the HubSpot Owner field:
